School Grounds and Landscaping Maintenance Checklist

School grounds are the first thing students, parents, and visitors see — and the last thing that gets a structured maintenance programme. Lawn mowing and litter collection happen reactively. Tree inspections, irrigation audits, and drainage checks rarely happen at all until a branch falls or a car park floods. A structured grounds maintenance programme aligned to the academic calendar prevents the avoidable: a drainage failure that closes a car park on parents' evening, a tree limb over a play area that was never assessed, or an irrigation system left running through a wet autumn because no one scheduled the shutdown. This checklist covers every grounds maintenance task for a school campus, organised by frequency and seasonal window, and built for deployment in OxMaint to auto-schedule every task before it is due.

2. Trees and Shrubs

Tree maintenance is the highest-consequence grounds management task. A branch failure over a student play area or car park creates injury risk and legal liability. Trees must be inspected by a competent person — not just visually assessed during a general grounds walk — at least annually, with immediate response to any newly developing structural concern.

Frequently Asked Questions

At minimum annually by a qualified arborist (Level 3 or equivalent), with monthly visual checks by grounds staff between professional inspections. Any tree over an occupied area — play zones, car parks, pedestrian routes — should be inspected after every significant storm event. Arborist recommendations must be acted on, not filed: Category 1 (immediate risk) findings require action before the next school day.
Complete winterisation before the first forecast frost — typically October in the UK and northern US states, later in southern climates. Compressed air blow-out removes residual water from lines that would otherwise freeze and crack. The backflow preventer must be insulated or drained. Spring recommission should test every zone before the growing season schedule starts.
Any surface discontinuity exceeding 25mm vertical change on a pedestrian route creates a reasonably foreseeable trip hazard and potential liability under occupier's liability legislation. This includes lifted paving flags, cracked tarmac, pothole lips, sunken drainage covers, and damaged step nosings. Defects must be documented, repaired promptly, or temporarily guarded — with records retained in OxMaint to demonstrate due diligence.
The summer break (July–August) is the only appropriate window for major sports pitch renovation — hollow-tine aeration, overseeding, and topdressing require 6–8 weeks of exclusion from use to allow establishment. Renovation carried out during term time produces poor results because the pitch is used before grass establishes. Schedule renovation in the first week of the summer break so the full 6–8 weeks is available before September return.
OxMaint schedules grounds tasks by calendar date — spring irrigation commissioning triggers in March, autumn winterisation in October, post-storm checks trigger on weather event notification. All tasks are assigned to the correct groundskeeper or contractor before the window opens. Arborist recommendations, trip hazard repairs, and drainage work orders are all tracked to completion in one dashboard. Book a demo to see grounds management in OxMaint.
